Hotel receptionists welcome guests as they arrive at the hotel. Their duties include checking guests in and out, issuing keys, taking reservations by telephone or email, preparing bills and dealing with payments. They provide guests with information, answer their queries and deal with complaints. As a night porter, you would be responsible for ensuring the safety of guests and team members and the security of the hotel and property in the hotel's continuing effort to deliver outstanding guest service and financial profitability. Specifically, you would be responsible for performing the following tasks to the highest standards:

Typical work activities – Day to day tasks

Night Shift

  • Promote safe work practices
  • Respond to guest inquiries and requests and resolve guest issues in a timely, friendly and efficient manner
  • Deal with enquiries and room reservations made on the telephone, online or by email.  Verify that all transactions performed at the front desk are supported by documentary evidence and signatures as necessary and that they have been correctly posted and allocated in to PMS system
  • Prepare of End of day procedure.
  • Follow the End of Day / Night Audit Checklist
  • Preparation of the breakfast area
  • Understand and knows how to perform check-in and check-out procedures.
  • Directing incoming calls and helping guests to make external calls
  • Prepare a customer's account when they leave the hotel. If necessary invoice on company’s name
  • Take payment from the customer in cash, or by credit/debit card. Trace and track the additional cost of used items such as drinks, telephone calls and extra breakfast, and include them in the final bill.

Evening Shift

  • Guests might come to the receptionist with any queries or complaints - not all of which will be easy to deal with, so use your super skills to resolve complain and make a happy guest.
  • Use sales skills to persuade guests to take a better and more expensive room, to stay longer, use hotel services such as breakfast, bar service in order to help to increase revenue for the hotel.
  • In the event of an emergency, receptionists might have responsibilities such as helping people as they evacuate the building, calling the emergency services, and checking that all guests have reached safety.
  • Deal with enquiries and room reservations made on the telephone, online or by email.
  • Greet guests on arrival at the hotel, make a good first impression
  • Check guests in and out
  • Issue keys to guests
  • Keep accurate records of which guests have arrived at, or left, the hotel.
  • Make sure that any necessary information goes to the housekeeping, restaurant, maintenance, and management departments
  • Provide guests with information about local attractions and places of interest.

Profiel

As a hotel receptionist, you'll need to have:

  • Clear speech and a polite manner along with excellent verbal and written communication skills.
  • A high standard of personal presentation.
  • A good telephone manner and the ability to speak a foreign language if necessary
  • Customer service skills, patience and tact.
  • The ability to be calm and stay well organised, even when working under pressure.
  • IT skills
  • The ability to handle cash, credit/debit cards and foreign currency.
  • Some secretarial and keyboard skills; you will need to be accurate and should pay attention to detail.
  • The ability to operate standard office equipment such as photocopiers.
  • You might need some sales skills to encourage guests to have breakfast in the hotel restaurant.
